Workshop timeline

Basic Workshop Timeline

Before you begin:

  • Set your goals
  • Identify your teachers
  • Get to know your ecosystem

2 months in advance

  • Find a sponsor
  • Find a location
  • Set a date and time
  • Decide how you will handle publicity and signups (see options for sign up)

6 weeks ahead

  • Meet with your teachers, provide them with the curriculum agree on how and when changes will be made (suggest that it be final 4 weeks in advance of the workshop).
  • Ask them if they know anyone who can TA (see Teacher and TA ratios)
  • Send an email out to your community for volunteers
  • Start publicizing the workshop
    • Call for attendees
    • Call for volunteers
  • If your workshop is for more than 10 people, assign a volunteer to handle logistics

4 weeks ahead

  • Keep publicizing the workshop

3 weeks ahead

  • Provide an opportunity for your teachers and TAs to review final curriculum and see the location.
  • Start getting materials together
    • Where are you getting projectors? Do you have the right adapters?
    • Prepare student materials for printing
  • Keep publicizing the workshop

2 weeks ahead

  • Assign key volunteers (Food, Registration, Projectors, Timekeeper/Runner)
  • Do your attendees need childcare? workshop childcare tips

5 days ahead

4 days ahead

  • Do you have enough projectors? Do you have the right adapters?
  • Prep install disks/drives
  • Remind volunteers to run through installation instructions

3 days ahead

  • Catering orders
  • Buy markers and nametags

2 days ahead

  • Reminder email to attendees
  • Reminder email to volunteers

1 day ahead

2 hours ahead

Workshop!

Immediately After the workshop

3 days after the workshop
  • Send thank you email to attendees with mention of sponsors, next steps, giveaways etc.
